Setting Up and Managing Email Accounts PDF Print E-mail

This information is for Gontz Technology Services, LLC web hosting customers. While these instructions may apply to using cPanel in general, they are specifically tailored to Gontz Technology Services, LLC's hosting accounts.

*Tip: You do NOT have to set up a full email account for every email address that you plan on using with your domain.

Example: You only need to set up one account such as This e-mail address is being protected from spambots. You need JavaScript enabled to view it and you could have email addresses such as This e-mail address is being protected from spambots. You need JavaScript enabled to view it , This e-mail address is being protected from spambots. You need JavaScript enabled to view it , This e-mail address is being protected from spambots. You need JavaScript enabled to view it , This e-mail address is being protected from spambots. You need JavaScript enabled to view it , etc. all forward to your This e-mail address is being protected from spambots. You need JavaScript enabled to view it account by setting them up as email forwarders.

*Note: Anytime you reply to a message that was forwarded to another email address the reply will come from the address of the email account and not the forwarded address. Example: If you set up This e-mail address is being protected from spambots. You need JavaScript enabled to view it to forward to yourname@yourdomain then when you reply to a message sent to This e-mail address is being protected from spambots. You need JavaScript enabled to view it the reply will be sent from This e-mail address is being protected from spambots. You need JavaScript enabled to view it and NOT This e-mail address is being protected from spambots. You need JavaScript enabled to view it .

(The .tld in the examples above is an acronym for top level domain. Top level domains are the uppermost hierarchy of domain names and are represented by .com, .org, .net, etc. that forms the ending of a domain name.)

Creating a New Account

1. Log in to cPanel by going to your htttp://yourdomainname.tld/cpanel and entering your account username and password. If you are prompted with the "Welcome New User" window you can either click on the x in the upper left corner or click on "No, I'm fine. Thanks!" to ignore it for now.

2. Click on Email Accounts in the Mail section of your control panel.

3. Locate the box/field labeled Email: and enter a username for the new email account.

For example, if you want you set up a new email account for info@yourdomainname then you would type "info" in the empty box.

4. Enter a password in the box/field labeled Password: and then enter the same password again in the box/field labeled "Password (Again)".

5. Click on Create.

 

Actually, you do not need to set up any email accounts using your domain name and you can still create email forwarders to point to an email account that you have through another provider/service. However, as stated above, when replying to a message received in this manner the person your are replying to will get the response from your@yourotherprovider. This may look unprofessional, could possibly confuse to the receiver and they may delete it without reading it, or it may be filtered as SPAM.

 

Checking Email

There are primarily two methods for checking your email accounts are by using an email client or webmail. An email client is an application that runs on your desktop computer (i.e. Outlook, Thunderbird or Mail.app), whereas webmail is a web-based interface that can be accessed using a web browser.


Login and Password for Email Addresses

Each email account has a login and password which are used for retrieving mail. An email account's login is the full email address. The password is whatever you chose when creating the email account in cPanel.

 
This login and password is used to download mail from the server (using desktop email clients like Microsoft's Outlook, Mozilla's Thunderbird or Apple's Mail.app); or from the webmail interface included with your hosting services, Horde and Squirrelmail, located at http://www.yourdomain.tld/webmail.

Checking Your Email Via Webmail

As stated in the previous section, to check your email via either Horde or Sqirrelmail, which are the two webmail systems provided with your hosting plan, you would go to http://www.yourdomain.tld/webmail. You will then be prompted for your username and password. Again, your username is the full email address of the user and the password is whatever you set up in cPanel.

 

Email Client Configuration Guide

General Guidelines

When configuring an email client you need to know your username and password, your incoming mail server address, and the outgoing mail server (SMTP).

Incoming Mail Server

For your incoming mail server enter "mail.yourdomain.tld" (replace yourdomain.tld with your domain name and NO quotes!). The username for your incoming mail server is your full email address.  

Outgoing Mail Server (SMTP)

It is recommended and sometimes required that you use outgoing mail server (SMTP) of your ISP (Internet service provider). Comcast, for example, requires that you use their outgoing mail server. If using the outgoing mail server of your ISP then you will need to use the username provided by them. If using your Gontz Technology Services, LLC issued outgoing mail server, then enter your email address for the username.
